BOOKING TERMS

We kindly ask our guests to pay a full pre-payment in order to secure their activities or group package. All prices are stated on our website: www.ballerzclubhouse.com

Please read these terms carefully before you make a Booking. By making a Booking, you agree to be bound by these terms. If you think that there is a mistake in these terms, or you are unclear as to their meaning or have any questions regarding them, please contact us prior to making a booking - by emailing: hello@ballerzclubhouse.com


AMENDMENTS POLICY
Should you need to make an amendment to your booking, please see below our policy:

- More than 48 hours before: You are able to re-schedule your booking with no charge. Any re-scheduled booking must be within 30 days of your original booking date and is subject to availability. (Bookings may only be re-scheduled once).

- Less than 48 hours before: Unfortunately, we are unable to re-schedule your booking. If you wish to cancel, you will lose the full payment made for your booking.

CANCELLATION / REFUND POLICY

Where you have booked and paid for activities or Group Packages online, you will not be due any refund should you cancel or have less attendees turn up for your booking. As we are selling you a leisure activity (and we remove from sale the activities based on the number of attendees confirmed at the time of booking) this means there is no statutory cooling off period as there usually is when you buy a service on-line. We understand plans change, and are able to offer you our 'amendment to bookings' policy as outlined above.


- All credit/debit card payments are securely handled by an industry-leading payment processor and are never stored on our website.

- If you do not show up for your activities or group package booking, your pre-payment will not be refunded, the booking will be cancelled and you will loose the payment made at the time of booking.  

- We ask all our guests to arrive no later than 10 minutes before your first activity time, if you are running late then please let us know by calling: 01252 418 484.


Please Note: Mini Golf Tee Times are allocated on the day by the team and are subject to a maximum of 4 persons per tee off time. Please note: your tee off time may not be until near the end of your chosen time slot.

- We can only hold your booking for 10 minutes. After this time, we cannot guarantee your booking, however we will do our best to fit you in, if we can.


PACKAGE BOOKINGS

For our group package bookings, we have the following additional Term’s & Condition’s;

- Full pre-payment is required at the time of booking, and only once received is the package secured.
- Unused Drinks Tokens cannot be redeemed for cash, are for use by your group only and cannot be transferred to another date.
- Date change: Minimum 14 day’s notice *Subject to availability.
- Cancellation: Whilst we're unable to offer refunds once payment for a group package has been made, should you wish to change the date of your booking... we require at least 14 day's notice. Any re-scheduled bookings must be within 30 days of your original booking date and is subject to availability. (Group Bookings may only be re-scheduled once).
- In the event of no-shows within your group, we’re unable to offer credit or a refund for those who do not turn up.


DAMAGES
If there is any damage to any equipment or furnishings, accidental or intentional - we reserve the right to charge the entire cost of the repairs or replacement - which will be billed directly to the lead guest on the booking via invoice, with payment due within 5 working days. Failure to make payment within 5 working days, will result in Ballerz Clubhouse Ltd proceeding with recovery action up to and including taking the lead guest on the booking to court for payment. Please note that the words ‘activities / gaming’ also applies to our private rooms and areas both within and outside our venue and any other bookable aspect of the venue.

In addition to the above, accidental or intentional damage caused to our VIP Private Hire Area, with our 7ft Supreme Pool Table & Sofa area have set repair / replacement costs as outlined below;

- New Cue = £40 Each.
- New Set of Pool Balls = £59 Per Set.
- Re-cloth of Table = £350
(Including but not limited to; drinks / food being spilled on the table + cigarettes burning the cloth + players tearing the cloth)
- New Triangle = £15 Each.
By making payment for the activity, the lead guest accepts the above terms and conditions and agrees to be bound by the managements decision regarding our 'Damages' policy.

 

DRESS CODE
Dress to impress. Smart casual or be ready with your best Golf / Darts attire!
*Please note that we would expect you to be respectful with your choice of clothing. We do not accept gym wear, tracksuits, construction attire/similar, non tailored shorts or flip flops. Management reserves the right to refuse entry if your clothing is deemed inappropriate, and no refunds will be offered.



SAFETY & SECURITY
Your safety and wellbeing is of paramount importance to us. In the interests of everyone’s enjoyment and safety, all members of your party are expected to behave responsibly throughout the duration of their visit to the venue. The management of Ballerz Clubhouse reserves the right to decline to honour a booking and/or eject from the premises any attendee who is seen to be under the influence of drugs; behaving in a violent, disruptive or irresponsible manner; drunk; causing a nuisance to others; or responsible for the commissioning of a criminal or civil offence.

Ballerz Clubhouse reserves the right in its sole discretion to refuse admission to the venue and may conduct security searches on entry. A booking does not guarantee entry.

All attendees are permitted to use Ballerz Clubhouse facilities and equipment solely at their own risk. Those present at the venue must comply with any instructions given by staff co-ordinating activities taking place at the venue or in relation to health and safety or security matters.

All attendees must take responsibility for the safeguarding of their personal belongings while present at the venue. Ballerz Clubhouse cannot accept liability for any loss or damage to an individual’s clothing or personal belongings.



AGE RESTRICTIONS
Ballerz Clubhouse is an over 18’s venue after 7pm. All under 18's are required to leave the venue by 7pm. The latest time an activity can be booked for / with guests under 18 is 6pm. Guests who are deemed to look under 25 years old by venue staff/management will be asked to provide valid photo ID in it’s original form on arrival as we operate a strict 'Challenge 25' policy. Acceptable forms of IDs include; valid passports, UK driving licenses or any card with the approved PASS logo. Anyone under the age of 18 or who is unable to prove their age when requested will not be admitted after 7pm and no refunds will be given.


OUR RIGHTS TO CANCEL OR MAKE CHANGES TO YOUR BOOKING
In the event we are unable to honour your Booking for any reason, including (but not limited to) an act or event outside our reasonable control, such as riot, terrorist attack or war (or threat of either), fire, explosion, storm, flood or other natural disaster, pandemic or epidemic (including COVID-19), or any law or action taken by a government or public authority (including local or national lockdowns) or for operational or business reasons (for instance where premises need urgent repair or refurbishment or are closed, or where we do not have the capacity to accommodate you for any reason):

We will use our reasonable endeavours to provide you with an alternative date/time that meets your requirements

If we are unable to provide you with an alternative date/time for whatever reason, or if you do not accept the alternative date/time, the contract will be cancelled and you will receive a full refund of any payment you have made in advance in relation to your Booking.

We will endeavour to provide you with as much notice as reasonably possible if we have to cancel your Booking for any reason.

We may end the Booking contract if you break it. We may end the Booking contract at any time by writing to you at the email or postal address you provided to us at the time of Booking, or by cancelling your Booking with immediate effect and (if appropriate) ejecting you (or a member of your Booking) from our premises if:

-You do not make any payment to us when it is due, and you still do not make payment within 5 days of us reminding you that payment is due.

-You do not, within a reasonable time of us asking for it, provide us with information that is necessary for us to cater to your booking, for example, information about allergies or other specific guest requirements.

-You are otherwise in breach these terms.

-You wilfully or negligently interrupt our business or the business of our other guests.


OUR LIABILITY TO YOU
We are not liable for business losses. We only take Bookings for domestic and private use. If your Booking is made for any commercial, business or re-sale purpose we will have no liability to you for any loss of profit, loss of business, business interruption, or loss of business opportunity, or loss or reputation and/or goodwill, or similar.

Indirect losses. We are not responsible for any loss or damage that was not reasonably foreseeable. Loss or damage is reasonably foreseeable if either it is obvious that it will happen or if, at the time the contract was made, both we and you knew it might happen, for example, if you discussed it with us during the Booking process.

Liability which cannot be excluded. Nothing in these terms and conditions shall exclude our liability for:

- Personal injury or death caused by our negligence.

- Fraud or fraudulent misrepresentation.

- For any matter for which it would be illegal for us to exclude, or attempt to exclude, our liability.


 

HOW WE MAY USE YOUR PERSONAL INFORMATION
Your privacy is important to us and we will endeavour to keep your personal information safe and secure. We will use the personal information you provide to us:

- To supply the booking / activity to you and administer your Booking.
- To process your payment for your booking, food or drinks.
- If you agreed to this during the Booking process, to inform you about similar products and services that we provide, but you may stop receiving these at any time by contacting us.
